Migration Limitations

This is where you will find information regarding some changes that will be very different or possibly confusing during or after the migration process. Please read through all of these to make yourself familiar in case you run into these problems in the future.

Gmail “labels” converting to Outlook “folders”

Microsoft doesn’t use labels, so labels are converted to folders.

  1. For example, lets say you have a google label called “sales.” After the migration, you will see a subfolder in your Microsoft inbox called “sales.” This subfolder will contain all emails that had the “sales” label on Google.
  2. If a single Google email had multiple labels assigned to it, then a copy of that email will be created in all corresponding subfolders on Microsoft.
  3. Additionally, there are a few possible labels called “categories” that Google can apply automatically without your knowledge, so you may find that some of your emails are found within 1 of those category folders after migration.
    • The automatic category labels that Google can apply are: CATEGORY_FORUMS, CATEGORY_PROMOTIONS, CATEGORY_SOCIAL, CATEGORY_UPDATES, CATEGORY_PRIMARY, CATEGORY_RESERVATIONS, CATEGORY_PURCHASES
    • You can move email out of those category folders in outlook and place them directly into your inbox if you don’t want the category folders anymore.
    • Once any mail that you want to keep is moved out of the folder, you can delete the folder.
    • This applies to all outlook email folders except the core folders (inbox, outbox, sent, drafts, etc).

Sharing Permissions for Users Outside Your ORG

Sharing of Files/Folders to Users outside of the partnerwithalpha.com Domain: Do not migrate.

SOLUTION: You will need to reshare the file/folder/link.

The link that the outside user already has to the file or folder will still work, but will be pointed to the Google version of that file and wont be kept up to date with your changes that you make in Microsoft after the migration. Eventually the Google access will be terminated and the outside user wont be able to access the file at all until you reshare it from Microsoft.

Sharing of Files/Folders by Way of a URL or Link: Will not migrate. The link that you previously shared will point to the Google version of the file.

SOLUTION:

Create a new link in Microsoft and send it again so it points to the Microsoft version of the file.

Eventually the Google access will be terminated and the old link will stop working all together.


Shortcuts in Google Drive

  1. Some shortcuts to a file or folder from Google Drive will not migrate,
    • SOLUTION: If you are utilizing shortcuts, you will need to be remake the shortcut after the cutover in Microsoft OneDrive

Shared Calendars

Share permissions will not migrate. This means:

  1. Each member of a Google shared calendar that has the “Make Changes and Manage Sharing” permission level will receive their own complete individual copy of that shared calendar that is not synced with anyone else. Users with less than “Make Changes and Manage Sharing” won’t see the shared calendar at all after migration.
  2. SOLUTION:
    • Collaborate with your team and choose 1 person that had the “Make Changes and Manage Sharing” permissions and received a copy of the calendar to share it again with anyone that needs itAnyone else that had the “make changes and manage sharing” permissions and received their own copy of the calendar should delete it and accept the newly shared version of that calendar from the chosen user.  Ideally, only one person will have the Master Version.
    • In summary, for shared calendars, everyone except 1 person that can see the shared calendar, should delete it and the one chosen person should reshare it with everyone that needs it.

Out of Office Setting

This does not migrate to Microsoft. Please see Out of office for Calendar on how to set this up again.


Email Signature

Email signatures do not migrate. Please see on how to create a new email signature.


Google Drive Permissions Within Permissions

May not migrate.

For example, if user A has ‘Read Only’ permission to a folder but then ‘Read and Write’ permission to an individual file or folder within, their permission will revert back to the permission of the permissions of the shared folder (Parent folder).

  1. SOLUTION 1:
    • Someone with ownership permissions of the share would need to reshare the file or folder to User A to give User A ‘Write’ permissions to that specific file or folder again.More importantly, you cannot restrict the access level of a file or folder within a shared drive in SharePoint.
      • NOTE: If you have a file or folder within a shared drive that you want to restrict people from accessing, then don’t put it in the shared drive.
    • Every file or folder within a shared drive will have (at minimum) the permissions of the shared drive as a whole (the parent folder).
      • Example: Integrations (Public to Alpha + Dontage) àDontage (Public to Alpha + Dontage) àPayroll (Public to Alpha + Dontage)
  2. SOLUTION 2:
    • If you have data that you need to shield from some members of the shared drive,
      • Create a separate shared drive with the more restrictive permissions and put the data in the new shared drive (or put the data in your individual OneDrive if you’re the only one that needs access to it).
      • We can create additional shared drives for you as needed.

Google Photos

Do not migrate.

  1. SOLUTION:
    • Save to your local drive and upload to OneDrive after transition.

Google Forms

Can be migrated to Microsoft forms but in order to do this, all of the forms will need to be gathered up in one location to be migrated at once.

  1. For those who have Google Forms they want to transition, fill out this form with name of file, owner and additional permissions needed post migration Google Forms Transition to Microsoft Forms
  2. Move any Google Forms outlined in the above link to the Google Drive folder here by NO LATER 7pm PST on Friday, September 13th.
    • NOTE: The existing invitations and links to the google form will not migrate to the Microsoft form and the invites will need to be resent. If the forms are not complicated or intricate, it may be faster for the user to just recreate the forms in https://forms.office.com and start over.
